FileNet conversions are a specialty at 4matix. We have developed specific tools and processes to perform large migrations and have a deep understanding of what it takes to successfully convert large complex FileNet systems to other ECM environments. Our FileNet experience is extensive and includes understanding the FileNet optical format, image and object types, annotations, COLD, PERM, Doctaba and other specific FileNet nuances.

Not only can we convert FileNet system data – we also convert data from FileNet based systems such as Sovera and certain versions of Unisys InfoImage. (We can convert all Unisys systems – only some are based on FileNet)

4matix has an engineering and operations staff with extensive FileNet conversion experience – dating back to the early 90’s. We have successfully converted dozens of systems from all types of storage platforms.

4matix specializes in large data migrations and has been instrumental in providing such conversions for some of the country’s largest companies and Government organizations.

4matix is easy to partner with or work directly with (end user customers). As a partner, we do not sell hardware such as scanners or storage environments. We do not sell any ECM software, capture or HSM software – nor do we provide any consulting or implementation services. All we do is sell our ECM data migration service.

Though we have worked with and partnered with some of the World’s largest systems integrators and ECM software companies – we are vendor neutral. As you will see below, we have delivered data to many different software systems. As an end user customer - working directly with 4matix makes great sense. Working together allows you to remove the data conversion requirement from your current or proposed solution provider. If you are evaluating new software vendors this allows you to narrow down the evaluation scope because the conversion requirement has already been met. This should help eliminate the fear of buying the wrong product or working with the wrong company just because they can deliver the conversion. Additionally, working directly with 4matix gives you direct access to our staff and expertise. We can provide you best practices and insight from a wide range of experiences. Working directly with 4matix will allow you to make a smoother transition from FileNet to your new ECM platform.

Delivery

We provide a custom conversion solution for our customers. Each customer’s conversion requirements are unique – anyone who tells you differently is doing you a disservice. As such – a custom delivery model works significantly better than a “one size fits all” utility or generic process. Moreover – being a large-scale conversion provider, our tools, methodologies, workflows and testing verification processes can be modularly added into any job. A “one size fits all” methodology is very inflexible – requests such as custom indexing – database lookups – rules based delivery - single versus multi-page TIFF, custom batch sizing, database sorting, disk family / document class sorting – etc. are not common practice and may pose significant cost and time delays. More importantly, these types of requests do not fit into a “utility model” and may jeopardize an entire conversion as well as the reconciliation/verification process. Conversely our process is tailor made for these types of requirements and rules, as it is customizable for each customer.

Here are a few samples of ECM products we have converted FileNet to as well as some unique conversion delivery requirements. Though we may not have converted FileNet data to your specific ECM environment – we likely have converted another system to it. It has been our experience that getting data into a new application is relatively simple – getting data out of a legacy environment is what poses difficulty.

Segregated delivery of image data versus COLD data
Lookup table verification
Account number reconciliation (Merger data)

As stated earlier we have converted FileNet based systems such as Unisys InfoImage (UNIX) and Sovera. Our broad understanding of data migration and specifically our FileNet experience allows us to assist customers in converting these systems.

Off-site Versus On-site

Our conversion process takes place off-site in a secure environment operating off-network – i.e. no external access. Our process is highly scalable and we work from backup data – database – optical platters (tape or magnetic). This process does not require any customer software, customer network infrastructure, or customer CPU processing cycles. 4matix resources are dedicated, day-to-day, to providing data migrations. Using our facility, reduces, if not eliminates any internal system downtime as well as providing a more cost effective use of resources. Our conversion service is turn-key and will require significantly less Data Center resources than any attempt at an internal conversion. A 4matix conversion solution will NOT interfere with the normal daily use of your FileNet system nor will it require additional support from an already overburdened IT Staff.

The 4matix solution processes data on dedicated production lines. If we are processing a job on one production line – we can simply add another line to meet demand. Conversions run on internal FileNet systems cannot scale like this.

The 4matix process does not interfere with day-to-day use of your FileNet application. In addition, the 4matix approach is a dedicated conversion environment – not a shared environment. If converting your system on-site there will be a constant struggle for resources. Moreover - there is significantly more risk of downtime and maintenance / support costs by doing this work internally. Remember – problems with the conversion will translate into problems with the users / business.

Some organizations simply think running a conversion utility will be more cost effective – but an honest assessment of the internal Data Center costs along with outside maintenance and support costs proves this to be a fallacy. Add in the risk of downtime and business interference and possible violation of you SLA and this choice becomes crystal clear.
